Your group will have opportunities to experience Chicago’s sports culture through select professional or collegiate sporting events, interactive sports activities, competitive team experiences, and other curated moments built into the retreat. Throughout the week, your group will also experience the best of Chicago through elevated dining, private gatherings, team activities, entertainment, and carefully selected cultural experiences. Each element is designed to give participants opportunities to connect naturally, experience the city, and build stronger relationships away from the workplace.

Wellness is intentionally integrated throughout the retreat, with a focus on mental wellness, physical wellness, and overall team well-being. From fitness and movement to recovery, relaxation, mindfulness, and opportunities to reset, the experience creates space for participants to recharge individually while strengthening the overall health and connection of the team.

  From the initial itinerary through the final day, key components of the retreat are coordinated into one comprehensive experience. Booking Information – The Fan Experience Group

Trip Coordination

All clients and guests must coordinate their trip with The Fan Experience Group prior to booking. Multiple itinerary options may be provided for review to ensure the best overall experience.

For corporate groups, detailed and intensive planning will be conducted directly with the assigned point of contact to fully customize the event.

Booking & Deposits

• A 50% deposit is required at the time of booking for all trips.

• All guests and group members must be included at the time of booking to ensure proper accommodations, ticketing, and transportation.

• Final payment details and deadlines will be provided during the booking process.

• All guest information must be accurate and submitted at the time of booking.

• The Fan Experience Group reserves the right to adjust itineraries due to availability, scheduling changes, or unforeseen circumstances.

Payment & Cancellation Policy

Reservation Deposit

A non-refundable deposit is required to reserve and secure your retreat experience. Reservations are not confirmed until the initial deposit has been received.

10-Day Cancellation Window

Guests may cancel within 10 business days of purchase for a full refund of the initial deposit, provided the retreat is more than 90 days from the scheduled departure date.

Final Payment Policy

The remaining balance for all retreats is due 30 days prior to the official retreat start date. Failure to submit final payment by the due date may result in cancellation of the reservation and forfeiture of deposits paid.

Cancellation Policy – More Than 90 Days Prior

If cancellation occurs after the 10-business-day refund window but more than 90 days before the retreat start date, all deposits and payments made will be issued as a future travel credit valid toward any future retreat booked through The Fan Experience Group until January 1, 2030.

Cancellation Policy – Within 90 Days

All payments become non-refundable within 90 days of the retreat start date. At this stage, accommodations, transportation, venue reservations, hospitality services, staffing, and local partner arrangements have already been finalized and secured.

Travel Insurance Requirement

Travel medical insurance is mandatory for all retreat participants. Trip cancellation and interruption insurance is strongly recommended to protect your investment in the event of unforeseen circumstances, delays, illness, emergencies, or schedule changes.

Group Responsibility

Companies, organizations, and group coordinators are responsible for ensuring that all participants traveling under their reservation maintain active travel and medical insurance coverage throughout the retreat.

Retreat Changes & Adjustments

Retreat itineraries, venues, activities, dining experiences, entertainment, and accommodations may occasionally be adjusted due to weather, venue availability, operational needs, safety concerns, or circumstances beyond our control. Comparable replacements will be arranged whenever possible.

Guest Conduct Policy

All participants are expected to conduct themselves professionally and respectfully throughout the retreat experience. The Fan Experience Group reserves the right to remove any participant whose behavior is disruptive, unsafe, inappropriate, or negatively impacts the experience of other guests or partners. No refunds will be issued in these situations.

Liability Waiver

By participating in a retreat experience, guests acknowledge and accept that participation in travel, transportation, sporting events, entertainment activities, nightlife experiences, and group outings involves inherent risks. Participants voluntarily assume responsibility for personal safety, belongings, and participation in all activities.

Force Majeure

The Fan Experience Group shall not be held responsible for delays, cancellations, interruptions, or changes caused by circumstances beyond reasonable control, including but not limited to weather events, natural disasters, labor disputes, government restrictions, transportation interruptions, pandemics, venue cancellations, or other unforeseen emergencies.
