A non-refundable deposit is required to reserve and secure your retreat experience. Reservations are not confirmed until the initial deposit has been received.
Guests may cancel within 10 business days of purchase for a full refund of the initial deposit, provided the retreat is more than 90 days from the scheduled departure date.
The remaining balance for all retreats is due 30 days prior to the official retreat start date. Failure to submit final payment by the due date may result in cancellation of the reservation and forfeiture of deposits paid.
If cancellation occurs after the 10-business-day refund window but more than 90 days before the retreat start date, all deposits and payments made will be issued as a future travel credit valid toward any future retreat booked through The Fan Experience Group until January 1, 2030.
All payments become non-refundable within 90 days of the retreat start date. At this stage, accommodations, transportation, venue reservations, hospitality services, staffing, and local partner arrangements have already been finalized and secured.
Travel medical insurance is mandatory for all retreat participants. Trip cancellation and interruption insurance is strongly recommended to protect your investment in the event of unforeseen circumstances, delays, illness, emergencies, or schedule changes.
Companies, organizations, and group coordinators are responsible for ensuring that all participants traveling under their reservation maintain active travel and medical insurance coverage throughout the retreat.
Retreat itineraries, venues, activities, dining experiences, entertainment, and accommodations may occasionally be adjusted due to weather, venue availability, operational needs, safety concerns, or circumstances beyond our control. Comparable replacements will be arranged whenever possible.
All participants are expected to conduct themselves professionally and respectfully throughout the retreat experience. The Fan Experience Group reserves the right to remove any participant whose behavior is disruptive, unsafe, inappropriate, or negatively impacts the experience of other guests or partners. No refunds will be issued in these situations.
By participating in a retreat experience, guests acknowledge and accept that participation in travel, transportation, sporting events, entertainment activities, nightlife experiences, and group outings involves inherent risks. Participants voluntarily assume responsibility for personal safety, belongings, and participation in all activities.
The Fan Experience Group shall not be held responsible for delays, cancellations, interruptions, or changes caused by circumstances beyond reasonable control, including but not limited to weather events, natural disasters, labor disputes, government restrictions, transportation interruptions, pandemics, venue cancellations, or other unforeseen emergencies.
