About this trip

There is absolutely no doubt South Africa is blessed with spectacular natural beauty, a fantastic climate and diversely interesting regions with diverse cultures. To say that South Africa is a virtual paradise is a true statement. The country geographically consists of an unspoiled coastline stretching for 2800 kilometres/1740 miles, dramatic mountains and escarpments, extensive bushveld, subtropical forest and outstanding wetlands. Although a comparatively large country, South Africa is easy to get around due to its excellent air and rail services.

Terms and Conditions:

  1. GROUP DEPOSIT:

In order to block land arrangements, a non-refundable deposit of USD$500.00 pp. must be received by our office, together with the signed booking form.  This amount will be deducted from the final invoice. If the group cancels, we will hold on file the initial deposit for up to 2 years to be transferred once to a future new group booking; sorry it cannot be transferred to an existing group and/or a new or existing FIT booking.

 Prices cannot be confirmed until all land and/or air arrangements have been booked as per the group’s final itinerary.

All deposit payments, for land and/or air must be made via agency cheque or credit card only / Group leader cheque or credit card only.


V. FINAL PAYMENT AND DOCUMENT ISSUANCE:

 Final payment and valid passport copies* are due no later than 90 days prior to departure. For payments within 90 days of departure or if air tickets and documents need to be issued immediately after payment, a certified cheque, bank draft or wire transfer must be received. Normally air tickets and travel documents are sent out 30 days prior to departure.  

 The above are our normal final payment terms; however certain arrangements may require the balance of payment earlier. 

Important: * These are required as per TSA requirements. Tickets cannot be issued without this information.


VI. INSTALLMENT PAYMENTS:

Travel LARG will accept installment payments on groups. Please note, any refunds of installment payments that have been made over and above the non-refundable deposits will be subject to a $5.00 processing fee per $100 (e.g. a refund of $500 will be charged a $25 fee), a minimum charge of $5 will apply. This processing fee applies if the cancellation is made prior to the effective date of the penalty period for the group. Please review the terms and conditions for full details of these dates and charges.

Important Note: Cancellation penalties for some travel arrangements may differ from our general conditions. In this occurrence, you will be advised of these addendums at the time of confirmation or prior to any penalties becoming applicable and as soon as we are notified of these special conditions. 



INSURANCE:

It is strongly recommended that clients purchase cancellation insurance to protect themselves against cancellation due to illness prior to or during travel. In the event a traveller becoming ill during a tour and has not purchased insurance, all hospital and medical expenses are the traveller's responsibility. Based on Travel LARG current cancellation policies the passenger may incur up to 100% cancellation penalties and should protect themselves with cancellation insurance.


Insurance MUST be purchased within 7 days of individual client deposits or payments being made and only covers non-refundable client money held by Travel LARG. If the group cancels prior to final payment and supplier fees being applicable, due to the required minimum numbers not being reached, the premium is refundable providing no claim has been made. In all other cases the premium is non-refundable.

IMPORTANT TRAVEL NOTES:

The Botswana Government have announced their intention to ban the use of plastic carrier bags effective from the 1st of November 2018. Guests travelling to Botswana should be aware of this and are advised to not carry plastic bags into the country. The proposed fine for carrying plastic bags will be US$500.


PASSPORT & VISA INFORMATION*:

Please ensure clients have arranged all documentation with the appropriate consulate well in advance of their departure from US and that passports are also valid for the minimum validity required for ALL destinations being travelled to. The information following only applies to the itinerary booked with Travel LARG and does not cover any independently arranged destinations.

  1. PASSPORTS 

Passports must be valid for a minimum of 6 months from your scheduled return date. 

Please ensure you have the correct documentation with you ready for check-in, security clearance and the boarding gates. For international travel, government regulations require all travelers over 16 years old to be in possession of a valid (return) air ticket, a passport and visa and health documentation (if required). Travelers without the necessary documents will be not be allowed to board to avoid flouting immigration rules. Customers travelling to international destinations must ensure that their passports are signed on the space provided at the bottom of the page that lists contact details. This is a requirement from various Immigration Authorities which you must adhere to.


MUST Passports must be valid for a minimum of 6 months from your scheduled return date. 

Please note that visitors who wish to travel to South Africa must have a machine readable passport that is valid for at least 60 days after their intended return date from South Africa.


MUST have sufficient blank pages in passport. These pages must be completely blank, this is a requirement. This blank page does not include the page reserved for Observations, Amendments or Endorsements.

It’s important to note that non-South African passport holders must have at least two (1) completely unused visa page for entry or departure endorsements by South African Immigration Service in their passport. Government regulations prohibit airlines from boarding travelers without the required blank visa pages, even if you hold a valid ticket and a valid passport. 

Please note that if you are travelling to other countries, you will need additional blank pages

If you are traveling to Zimbabwe via South Africa, please ensure that you have at least 6 blank pages in your passport. South Africa requires two clean, consecutive pages for each transit through South Africa. You will need two pages to transit South Africa in each direction, and two pages to enter Zimbabwe. 

For travel to Zimbabwe all domestic transactions should be settled in Zimbabwe dollars, in accordance with the Reserve Bank of Zimbabwe (Legal Tender) Regulations, Statutory Instrument 142 of 2019. Travelers may have to exchange U.S. dollars for Zimbabwe dollars at exchange bureaus; use of U.S. dollar cash for transactions in Zimbabwe is restricted.  Bring cash sufficient for the duration of your trip; the importation of any currency into Zimbabwe by travelers is not restricted. However, all travelers are encouraged to complete a Customs Declaration Form (Form 47) and declare the currency in their possession at the time of entry. Note that the amount of currency that a person who is about to leave Zimbabwe may possess, without authorization in the departure lounge of an airport or any other port is a total of USD $2000 in any currency or combination of currencies or in bond notes or coins, unless declared/documented upon entry.

GENERAL:

 I.  CURRENCY AND PRICING FLUCTUATIONS

 This proposal is based on the current exchange rate(s). Should there be considerable currency fluctuations, we reserve the right to apply any necessary surcharges. In the event of any additional fuel surcharges by the Land Suppliers and/or airlines, we reserve the right to add these to the costs of the land package and/or airfare. Any applicable increases will be advised in writing prior to final payment. Prices are guaranteed once final payment has been made.

 II.  GROUP DEFINITION

a)  Land: A minimum of 10 paying adult passengers travelling on the same itinerary/ arrangements.

b)  Air: For most airlines, a minimum of 10 paying adults departing on the same date and travelling to the same destination on the same flights. 

c)  Should the number of passengers fall below the required minimum (10), the booking will be deemed as F.I.T. Travel. Our F.I.T. department will provide a revised quotation based on actual numbers of passengers travelling on the given program. The group quote and rates will no longer apply.

III.  TOUR ESCORT (LEADER) POLICY

 As defined separately in our land-only quotations and our air-only quotations. Costs will either include or exclude FOC (free of charge) land and/or air arrangements for a bonafide tour escort. The Escort must travel with the group in both directions when air is quoted.  Any FOC air tickets are offered as per the airline’s tour conductor policy. All air taxes must be paid for the FOC Tour Escort Ticket and will be included on the final invoice. Mileage points cannot be accumulated on a FOC ticket. 

IV.  AMENDMENT FEES

 Travel LARG reserves the right to charge an amendment fee of USD$75.00 per proposal, when in excess of 3 proposals, and where extensive amendments are required. Once the group has been booked and confirmed, supplier charges may also apply for any changes made. 

 V.  FORCE MAJEURE:

We shall not be liable for any claims, losses, damages, costs, expenses, delays or loss of enjoyment, of any nature or kind whatsoever, resulting from events beyond our or a supplier’s reasonable control, including but not limited to acts of God, strikes, lockouts or other labour disputes or disruptions, wars, blockades, insurrections, riots, earthquakes, weather conditions, floods or acts or restraints imposed by government authorities

VI.  RESPONSIBILITIES

Travel LARG and/or its agents act only as agents for the client in all matters pertaining to travel. They assume no responsibility nor liability in connection with the service of any train, vessel, carriage, aircraft, motor or other conveyances which may be used, either wholly or in part, in the performance of its duty to the passenger; neither will it be responsible for any act, error, or omission, or any injury, loss, accident, delay or irregularity which may be occasioned by reason of any defect in any vehicle or through the neglect or default of any company or person engaged in carrying out the purpose for which tickets or coupons are issued. In the event that it becomes necessary or advisable for the comfort or well-being of the passengers, or for any reason whatsoever, to alter the itinerary or arrangements, such alterations may be made without penalty to the operators. Additional expenses, if any, shall be borne by the passengers, conversely refund will be made to the passengers if any saving is effected thereby. The airlines concerned are not to be held responsible for any act, omission, or event, during the time passengers are not on board their planes or conveyance. The passage contract in use by the airlines concerned, when issued, shall constitute the sole contract between the airlines and the purchaser of these tours and/or passenger. The right is reserved to withdraw any or all tours should conditions warrant, also to decline to accept or retain any passengers as Members of the tours. Travel LARG or agent can assume no responsibility for lost tickets or coupons.

On arrival at Cape Town airport, you will be met and transferred to your hotel for check in the next three nights. The rest of the day is at your leisure. 

Cape Town is located in the southwest corner of South Africa near the Cape of Good Hope. With its unrivalled natural beauty, Cape Town is certainly a highlight of Southern Africa. Originally intended as a supply station for Dutch ships en route to Eastern Africa, India and the Far East, by 1652, Cape Town had become the first permanent European settlement in South Africa. As time passed other settlements were created, yet the Cape Colony looked to Cape Town as its economic and cultural hub.

With its majestic Table Mountain backdrop, Cape Town is one of the most beautiful and exciting cities in the world; an eclectic mix of architectural styles reflects the tastes and dictates of the past and the more functional demands of the 20th Century. Cobblestone streets, mosques and the flat roofed pastel homes of the Malay quarter enhance a cosmopolitan ambience and in a recent development, the restoration of the Victoria and Alfred Waterfront evokes images of the seafaring activities of the 19th century.
